Rental Policy
Rental Proposal: To begin a rental, fill out the Rental Order Form and indicate piece(s) requested, date(s) of performance, the delivery format, etc. A quote will be sent to the person responsible for billing. That person indicates acceptance of the proposal via email. The rental will then be scheduled for delivery by the date requested.
Return of Printed Materials: All printed materials, if requested, must be returned within 21 days of the final performance. Late returns will incur a 50% fee. Parts that are excessively damaged or marked up will incur a replacement charge of $50.00 per part. Missing or not returned sets will be billed at 5 times the rental fee. Scores not returned will incur a fee of 3 times the rental fee.
PDFs: If you request delivery in PDF, you will be granted a right to print parts for use by your organization’s musicians, or to distribute parts in PDF format for their use with a digital display. PDF files must be securely stored. Only the Licensee's librarian or other authorized member of management will receive all of the parts. Each player will receive only their individual part. The contents of the PDF files may not be altered in any way.
Licensee is granted permission to retain parts printed from PDF files for a future performance. If Licensee wishes to perform the arrangement(s) in the future, Licensee agrees to pay Berens Pops Library's standard rental fee.
Delivery in Printed and PDF Format
If you want to receive the parts and scores in both printed and PDF format, there is an additional fee of $100.00 per set of parts rented.
Pricing: Rental fees for full orchestra works are based on the length of the piece as follows:
0:00 to 4:00 — $225.00 for the first performance and $75.00 for each subsequent performance in a run of concerts.
4:00 to 8:00 — $300.00 for the first performance and $100.00 for each performance in a run of concerts.
8:00 and longer — $450.00 for the first performance and $150.00 for each subsequent performance in a run of concerts.
Cancellations: No fee will be incurred if the cancellation occurs before the parts are shipped to the customer. A 50% restocking fee will be incurred if the cancellation occurs after the parts have been shipped.
Payment: Payment in full must be made by check within 30 days of receipt of the invoice.
